IBS 2.7 > Facilitator Functions


As a facilitator, you can set and maintain several parameters for the classes you facilitate. You manage these parameters using the "Manage Classes" function.

In IBS, enter the campus of a Group for which you have been approved as a facilitator, then under the Facilitators menu, select Manage Classes. You will see a list of classes that you are facilitating within the Group whose campus you entered.

Creating a class
To create a new class, click Create New Class. The Create a New Class screen appears.

  • Group is completed for you. It identifies the Group whose campus you have entered; you will create your class from one of the courses in this Group's sales catalog. To change to a different Group, go back to My IBS Portal and click a different Group's name to enter its campus.
  • Choose Course presents a list of all the online facilitated courses available within your Group. Select the one you are planning to facilitate.
  • Class Type is completed for you. The only available type at the present time is Online Facilitation.
  • Class Alias can be anything you choose. If you facilitate more than one class, the class alias can help you distinguish one class from another, particularly if the classes are based on the same course. You may choose to number the classes or include a date or other unique identifier in the class alias. The class alias is for your own use and is not visible to students.
  • Max Capacity sets the maximum number of students that can enroll in the class. If this number is reached, the class will no longer be available in the sales catalog for students to enroll in.
  • Approval Required? determines whether students who enroll in your class are accepted automatically, or whether you will review and approve or disapprove their enrollment. If you check this box, you will be notified when a student has enrolled in your class. You must approve or disapprove his/her enrollment using the Approve Enrollments function on the Facilitators menu.
  • Enrollment Deadline is the last date that students can enroll in your class. When this deadline has passed, the class will no longer be available in the sales catalog for students to enroll in.
  • Start Date/End Date specifies the dates during which your class will be "in session". This allows your students to see what time period they are committing to if they enroll in your class.

When you have completed all of these fields, click the Create Class button.

Editing a class
After you have created the class, you can change any of the above parameters (except Group and Course Name).

  • Select Manage Classes from the Facilitators menu to display the Class Manager page.
  • On the Class Manager page, in the table of Your Facilitated Classes, locate the class you want to change. 
  • Click Edit and make whatever changes are needed.
  • When finished, click Update Class.

Defining the Grading Protocol

In IBS 2.7, it is the responsibility of the facilitator to determine what activities in a class will be graded and how much each of those activities counts toward the students final grade. See Define Grading Protocol for more information.

Deleting a class

You may delete a class as long as EITHER of the following conditions is met:
  • No students have enrolled and paid for the class
  • No student paid for the class more than 45 days ago, AND all students have a class completion status of “Working”. (If any students have a completion status of Pending, you must return them to Working before you can delete the class. In this case, each paid student will receive a full refund.

If any student paid more than 45 days ago, or if any student’s class completion status has been changed to Complete or Incomplete, you cannot delete the class.

To delete a class.

  • Select Manage Classes from the Facilitators menu to display the Class Manager page.
  • On the Class Manager page, in the table of Your Facilitated Classes, locate the class you want to delete. 
  • Click Del and confirm that you want to delete the class.
