Admitting a student

IBS encourages a close relationship between a Group and its students. To establish that relationship, we suggest that the GA or Academic Dean (AD) begin a dialog with each student who applies to your Group, especially if you do not know the student. The Admissions / Financial Aid function, which is available under Group Administrators > Academic > Students, displays a list of all students who have applied to your Group. You can filter this list to show only a particular set of students; for example, students who have not yet been processed (Pending Admission), students who have been sent a request for additional information (More Info requested), or students who have applied and then withdrawn their applications (Withdrawn).

You may wish to follow these steps, or something similar, when processing an application. (If you have set your Admissions Management to Auto, you would begin with step 5.)

  1. Filter the table by Pending Admission to show new applicants to your Group.
  2. In the Action column, click Request Info. This will open a window displaying the student’s profile. At the bottom of a window is a text box that you can use to introduce yourself and to ask questions of the student. Your message will appear in the student’s Notices box on his/her My IBS Portal page. However, his reply to you must be by email, since there is no “reply” feature in the notification system.
  3. If you wish, you can keep track of your interactions with the student using the Update link in the Action column. When you click this link, a window opens to display the student’s profile, contact information, and a text box labeled Update Student Information. You can add notes about your interactions into the Update Student Information text box; when you click the Update button, your entries will appear in the Current Student Information box.
  4. After getting to know the student:
    • If you decide to admit him/her to your Group, in the Action column, click Admit. This will change the student’s status to Admitted.
    • If you decide not to admit the student, click Reject. This will change the student’s status to Rejected. A rejected student can apply again later; this will change his status to Reapplied.

The student will be informed of your decision automatically through the IBS notification system.


Financial Aid

If you feel that the student will need financial aid to reduce the price he or she will pay for your products, click Fin. Aid and enter the percentage of the adjusted academic price that the student will pay. When granting financial aid, remember:

  • A factor of 0 will reduce the student’s price to $0, and a factor of 100 will not reduce the student’s price.
  • The financial aid factor is multiplied by the student’s country factor. If you do not take the country factor into account, this could result in the student receiving a larger reduction in price than you intended.
  • Regardless of the final price the student pays, your Group will be responsible to cover the "wholesale” cost (Publisher price plus IBS surcharge) associated with any products sold by your Group.


Removing a Student

There is no functionality to allow a Group Administrator to remove a student who has been admitted to his Group. If, after admitting a student, you find that you must remove him/her from the Group, contact the IBS System Administrator for assistance.
