IBS 2.6 > Group Administrator: Academic Functions

As a Group Administrator, you are responsible for approving users who apply to be facilitators for your Group. You should prayerfully consider those whom you select as facilitators for your Group. More guidance on the role of the facilitator, and important qualities that facilitators should have, can be found in the Appendix of the Group Administrator Orientation Guide, available on the IBS Help Page.

Once you have determined who will be a facilitator in your Group, you can select Group Administrators > Academic > Staff > Facilitators to:

  • Approve or disapprove anyone who has applied to be a facilitator in your Group
  • Reassign a facilitated class from one facilitator to another
  • View profile information for all facilitators in your Group
  • Remove facilitator privileges from a user (that is, return the facilitator to a student role in your Group)
  • Send a notification to all Facilitators in your Group. The notification will appear in the Group Notices column on each Facilitator’s My IBS Portal page.

Approve/disapprove applicant

A student in your Group who wishes to become a facilitator may apply using the Apply to be a Facilitator link, located under Students > Lead in the sidebar menu. When this happens, you will be notified. You should then:

  1. Go to Group Administrators > Academic > Staff > Facilitators and locate the student's name. If you wish, you can search for Pending in the Status column to display only students who have applied but have not yet been approved. 
  2. You may click the student’s username to see basic profile information about the student; more complete information will appear in the notice. 
  3. Click either the Approve or Disapprove link and confirm your selection by clicking OK. Your decision will be communicated to the student through the IBS notification system

Reassigning a facilitated class to a different facilitator

If a facilitator is unable to complete his/her responsibilities for a class, you may reassign the class to another facilitator. 

  1. Select Group Administrators > Academic > Staff > Facilitators and locate the facilitator whose classes need to be reassigned. Click Reassign.
  2. A table of classes led by the selected facilitator will appear. Locate the class you need to change and click Edit.
  3. Use the New Facilitator dropdown menu to select the name of the replacement facilitator.
  4. Click Update.
  5. Repeat from Step 2 if your facilitator is leading other classes that need to be reassigned.

Both the new and the old facilitator will be notified of the change.

Remove Facilitator 

Note: Before a facilitator can be removed from your Group, all of his or her active classes must be reassigned to another facilitator.

To remove a facilitator from your Group:

  1. Select Group Administrators > Academic > Staff > Facilitators and locate the facilitator you wish to remove.
  2. To remove the facilitator, click Remove and confirm your choice by clicking OK
  3. The user will remain a registered student in your Group but will no longer have the privileges of a facilitator. He/she will be notified of this change.
